What information we collect

Depending on how you use our services, this can include:

• Your name, contact details and booking-account information.
• Class bookings, attendance, passes, membership requests and transaction records.
• Information you provide in enquiries, waivers, forms or requests for support, including Community Access.
• Teacher and Energy Exchange applications, including experience, availability, contact details and any video or portfolio links you choose to share.
• Class photographs and videos in which you appear, as described below.
• Studio-hire bookings and information needed to arrange your access.
• Gift-card recipient details supplied by the purchaser.

Please provide only what is needed for your request. Do not email passwords or full payment-card details. Community Access enquiries do not need a detailed personal hardship story.

Why we use it

We use information to:

• Manage classes, bookings, passes, memberships and studio hire.
• Process payments and refunds, answer requests and send service updates.
• Review teacher and Energy Exchange applications and contact applicants.
• Share class footage and promote the studio, subject to the filming choices described below.
• Support safe participation and meet applicable record-keeping obligations.

Most information is provided by you. We also receive information through the booking, payment and form services you use with HIT. Someone buying you a gift card may provide your name and email so it can be delivered.

You can choose not to provide information. However, without the details needed for a booking, payment or request, we may be unable to complete it. If you’re unsure whether a detail is needed, ask us before submitting it.

Services that help us operate

Our website and services use third-party providers, including:

• Mindbody: class accounts, bookings, passes, memberships and related payments.
• Acuity Scheduling: studio-hire bookings and booking messages.
• Typeform: membership-management requests and other forms presented through that service.
• Jotform: teacher and Energy Exchange application forms.
• Dropbox: storage and sharing of class videos.
• Shopify: our public website and associated store functions.
• Email and administration tools: handling enquiries, records and customer support, including AI-assisted tools that may help organise information or draft responses.

Information relevant to a task may be accessible to authorised HIT staff, teachers or service providers involved in that task.

Overseas processing: providers may process or store information outside New Zealand. They may also collect information directly under their own privacy notices; check those notices when using their services.

Using a third-party service does not remove HIT’s responsibilities for the information we handle. Information may also be disclosed where required or permitted by law.

Website storage and third-party content

Our website uses Shopify analytics, Google Analytics and Meta (Facebook) tracking tools. These can collect information about pages visited, interactions, referring sites, device and browser details, and online identifiers to help understand website use and measure advertising. Meta may associate activity with information it holds about you and use it to personalise advertising under its own privacy policy.

Embedded booking tools, forms and the website platform also use cookies or similar technologies to operate their services. You can manage cookies through your browser and advertising preferences through Google or Meta. Blocking cookies may affect booking or form functionality. External links, including social media, Dropbox and Discord, take you to services with their own privacy practices.

Class photos and videos

Participation in class filming is optional. Let your teacher know if you do not want to be filmed. Students filming themselves should ask before including others and respect anyone who does not want to appear.

Shared class videos: we share footage through Dropbox using the Class Videos link on our website. This link is publicly accessible, so treat footage shared there as available beyond your class; people with access may copy or reshare it. It is not a private members-only gallery.

Public posts: class footage may also appear on HIT’s website and social channels, including Instagram, Facebook and YouTube. Tell your teacher before filming if you do not want to appear, and contact us about any footage already shared.

If you have a concern about a photo or video involving you, contact HIT with enough detail for us to locate it. We can review requests concerning material on channels we control, but cannot guarantee removal of copies shared by others. Keeping information safe and up to date

We are responsible for taking reasonable steps to protect the personal information we hold, limiting access to those who need it and keeping information accurate for its intended use. No online service can promise absolute security.

Information should be kept only for as long as it is needed for its purpose, including applicable legal record-keeping requirements. Contact us if you want to ask about a particular record or request its deletion; some records may need to be retained.

Your access and correction rights

You can ask to access the personal information HIT holds about you and request corrections. Email HIT with your request. We may need to verify your identity before releasing or changing information.
